Email templates for small businesses

Most small businesses send the same ten emails again and again: a quote, a reminder, a thank-you, a chase for an unpaid invoice. These pages give you the words.

Every template here is short, polite and written to send as it is. Change the name, the date and the amount, and it is done. None of them assume a sales team, a legal department or a design tool.

They work in any email app. The one thing we ask: send them from an address on your own domain, such as hello@yourcompany.com. Customers trust it more, and the reply lands in a mailbox the business controls, not in someone’s personal account.

How to use a template

  1. Open the guide for the email you need to send and copy the version that fits.
  2. Replace everything in square brackets: names, dates, amounts, order numbers.
  3. Keep the subject line as written. They are short on purpose so they read well on a phone.
  4. Send from the right address: bookings@ for appointments, billing@ for invoices, hello@ for everything else.
  5. Save the finished email as a draft in your mail app so next time it takes a minute.

Common questions

Can I use these templates in Gmail or Outlook?
Yes. They are plain text, so they paste into any mail app on any device. The only advice that depends on your setup is which address you send from.
Should I send these from my personal email address?
No. Send them from an address on your business domain. It looks more trustworthy, and if a staff member leaves, the conversation stays with the business instead of leaving with them.
Do I need a different template for every customer?
No. Change the name, the date and the amount and keep the rest. A template you edit in three places each time is still a template, and it still saves you ten minutes.
