Timing

Send requests two to five working days ahead for internal contacts and one to two weeks ahead for busy external ones. Confirm within a few hours of agreement and send the calendar invitation at the same time. Reschedule as soon as you know, never on the morning of the meeting unless there is an emergency, and always offer replacement slots in the same email. Send the reminder around 24 hours before; a second reminder one hour before is useful for first-time contacts and for consumer appointments such as consultations and site visits.

Mistakes that cause no-shows

  • Times without a time zone, particularly between East Africa, the UK and Central Europe where an hour's difference is easy to miss.
  • Sending the invitation from a calendar tool with a different address than the email, so it lands in spam or is ignored.
  • Requesting an hour when 20 minutes would do; long meetings get postponed.
  • Rescheduling twice; after the second move most people stop taking the meeting seriously.
  • Confirmation without a location or link, followed by a scramble at start time.
  • No agenda, so the meeting ends without decisions and needs another meeting.

Common questions

Should I use a scheduling link instead?

A booking link is efficient for inbound requests and consumer appointments. For someone senior or for a first contact, offering slots in the email is more courteous; you can add the link as a fallback at the end.

How do I ask for a meeting with someone who does not know me?

Combine the introduction email format with this request: one line of relevance, one line of what you want to discuss, three slots. Keep the ask to 15 minutes.
