Referral Request Email Templates for Small Businesses (Copy-Ready)
Copy-ready referral request email templates: ask a happy client, ask for a specific introduction, ask a professional partner and thank a referrer, with timing.
Referrals are the cheapest customers a small business will ever get, and most owners never ask for them because the ask feels awkward. It is only awkward when it is vague. A referral request that names the kind of person you want, makes the introduction easy, and takes ten seconds to act on gets results. Here are four templates, plus the timing and the mistakes that make people ignore the ask.
Quick summary
- Ask right after a win: a good result, a compliment, a renewal, a five-star review.
- Describe the ideal referral in one sentence ("a clinic owner with two or more locations who still runs bookings on paper"). "Anyone who might need us" produces nothing.
- Make it a forward, not a task: give them a short paragraph they can send as-is.
- Ask for one introduction, not "a few names".
- Send it personally from name@yourdomain.com; referral asks from a marketing tool feel like a campaign and get treated like one.

Template 1: asking a happy client
Subject: A small favour, [First name]?
Hi [First name],
I was chuffed to hear [specific positive thing, e.g. the new booking flow cut your no-shows]. Thank you for saying so.
Most of our work comes from people like you telling people like you, so I have a small favour to ask. If you know one [ideal referral description, e.g. clinic owner who is still juggling bookings by phone], would you forward the paragraph below to them?
---
[Your name] at [Company] helped us [result]. If [problem] is something you deal with, it is worth a 15-minute chat; you can reach [him/her/them] at [name]@[yourdomain].com.
---
No pressure at all, and nothing changes between us if no one comes to mind.
Thanks again,

[Title], [Company]Template 2: asking for a specific introduction
Subject: Would you introduce me to [Name]?
Hi [First name],
I noticed you are connected to [Name] at [Their company]. We are talking to [type of company] about [problem you solve], and [Their company] looks like a good fit because [specific reason].
Would you be comfortable introducing us? If yes, here is a two-line note you can paste, and I am happy for you to edit it or say no:
"[Your name] runs [Company]; they helped us with [result]. [He/She/They] asked if I would connect you as they are working with [type of company] on [problem]. I will leave you both to it."
If you would rather not, that is completely fine and I will not ask again.
Best,
[Full name]Template 3: asking a professional partner (accountant, lawyer, agency)
Subject: Referring clients both ways?
Hi [First name],
We seem to serve the same kind of client: [description]. Over the last [period] I have sent [N] people your way for [their service], and I would like to make that a two-way habit.
What we do, in one line for your clients: [one line].
Who it suits: [description].
Who it does not suit: [description], so you are never embarrassed by a bad fit.
I am not proposing commissions or anything formal, just a shared understanding of when to mention each other. If you would like to make it more structured later, happy to talk.
Could we grab a coffee or a 20-minute call in the next couple of weeks?
Kind regards,
[Full name]
[Title], [Company]Template 4: thanking the referrer
Subject: Thank you for sending [Name] our way
Hi [First name],
[Name] from [Their company] got in touch and mentioned you suggested us. Thank you; that means a lot.
We [had a first call / started work] on [date], and I will make sure they get the same care you did. I will not share anything about their project with you, but I wanted you to know the introduction landed.
[If you offer something: A small thank-you is on its way / I have added [gesture] to your account.]
If there is ever anything I can do for you or someone you know, you only have to ask.
With thanks,
[Full name]
[Title], [Company]Timing
Ask within a week of the success moment, on a working day, and never in the same email as an invoice or a review request. Ask each client at most twice a year. Send the thank-you the day the referred contact reaches you, whether or not they become a client; people refer again when they hear that it worked. For partner referrals, review the relationship every quarter and mention any names you sent, so the exchange stays visible.
Mistakes that kill referrals
- Asking "do you know anyone who needs our services?" with no description of who.
- Offering cash for referrals without checking whether the client's profession or employer forbids it; in regulated fields it can cause real trouble.
- Following up on a referral request more than once. It is a favour, not a sales sequence.
- Forgetting to tell the referrer what happened, so they never refer again.
- Sending from a free webmail address, which makes the forwardable paragraph look less credible to the stranger receiving it.
- Asking during a live problem or a price dispute.
Common questions
Should I offer a referral reward?
A small, non-cash thank-you after the fact works well and avoids the transactional feel. If you run a formal programme, state the terms in writing and check the rules for any regulated clients.
How do I ask without sounding desperate?
Lead with their result, describe exactly who you want, make it easy, and give them an explicit way out. Confidence shows in specificity.
What if the referred person never replies?
Send one friendly message mentioning the referrer by name, wait a week, follow up once, and stop. Tell the referrer you tried and thank them anyway.
