An out-of-office reply is the one email you send to everyone who writes to you, including prospects you have never met, so it deserves more than "I am away and will reply when I return". A good auto-reply states dates, gives a route for urgent issues, protects your team from being chased, and manages expectations that are now shaped by same-minute replies on WhatsApp. Here are four templates and the rules for using them.

The WhatsApp-era expectation problem

Customers who get replies within minutes on WhatsApp and Instagram now expect the same from email, and an unexplained silence of two days feels like being ignored. The fix is not to answer email at midnight but to set expectations explicitly: state your normal reply time in your signature ("we reply within one business day"), put the same promise on your contact page, and switch on an auto-reply for any absence longer than a working day. For customer-facing role addresses, keep a rota so support@ and sales@ never go on holiday even when people do.

Template 2: company holiday closure (sent in advance and as auto-reply)

- Orders placed by [date] will be dispatched before the break.

Template 4: extended leave (parental, medical, sabbatical)

Timing and switching off

For a closure, email customers at least two weeks ahead and again three days before; put the dates on the website and on your voicemail too. Switch the auto-reply on the evening before you leave and off the morning you return; a stale out-of-office in September that mentions August is one of the most common credibility leaks in small business email. If your mail host supports a date range, set the end date so it turns off by itself. On your first day back, reply to anything urgent first, then work through the rest in received order and say so, so nobody feels queue-jumped.

Mistakes that annoy customers

  • No return date, or "back soon".
  • Promising to check email "occasionally" and then not doing it.
  • Pointing urgent matters at a colleague who is also away.
  • Auto-replying to mailing lists and automated senders, which can create loops; most hosts send only one auto-reply per sender for this reason.
  • Announcing a closure only on social media, where many customers will not see it.
  • Leaving the role addresses (support@, billing@) with no cover, so the whole company appears closed.

Common questions

Should the auto-reply go to everyone or only external senders?

External senders and customers need it most. If your host offers the option, send a shorter version internally or none at all; colleagues can see your calendar.

Can I put a promotion in my out-of-office?

Keep it to one line at the very end, if at all, and never in an apology or closure notice. People writing to you have a question; answer that first.
