Appointment Confirmation and Reminder Email Templates for Small Businesses
Copy-ready appointment emails for clinics, salons and trades: confirmation, reminder, reschedule, missed appointment, cancellation, follow-up.
Part of the collection Email templates for small businesses
A good appointment email answers the five questions a customer has before they arrive: when, where, how long, what to bring, and what happens if they cannot make it. A good reminder repeats the first two and makes rescheduling easier than not turning up. The six templates below are for businesses that send these by hand or from a simple booking system; if you are automating them, the API reminder guide covers time zones and sending.
Rules that apply to every template
- Put the date, the time and the day of the week in the subject line. "Your appointment: Tuesday 12 May, 10:30" is read without opening the email.
- For anything remote, state the time zone. For anything in person, give the address, the entrance and the parking in one line.
- Say how to change or cancel in one sentence, with the deadline, and make the reply address a real one.
- Send from a role address customers will recognise next time: appointments@, bookings@ or the person's name@. Never from no-reply.
- Keep it short. The confirmation is five lines; the reminder is three.
1. Confirmation
Subject: Confirmed: [Service] on [Day, date] at [time]
Hi [First name],
You are booked for [service] with [person] on [Day, date] at [time] ([duration]).
Where: [address], [entrance / floor]. [Parking / transport line].
Bring: [documents / previous results / nothing].
Need to change it? Reply to this email or call [phone] by [deadline, e.g. 24 hours before]. After that, [cancellation terms in one sentence].
See you then,

[Company]2. Reminder, the day before
Subject: Reminder: [Service] tomorrow at [time]
Hi [First name],
A quick reminder that you are booked for [service] tomorrow, [Day, date], at [time] at [address].
If you can no longer make it, reply "reschedule" and we will offer you new times. Otherwise, no need to reply.

[Company], [phone]3. Offering a reschedule
Subject: New times for your [service]
Hi [First name],
No problem at all. Here are the next available times for [service] with [person]:
- [Day, date] at [time]
- [Day, date] at [time]
- [Day, date] at [time]
Reply with the one that suits you and I will confirm it straight away. If none of these work, tell me the days that do and I will find something.

[Company]Free business email on your own domain
OquMail gives you up to 15 mailboxes on your domain — free — with guided SPF/DKIM/DMARC, webmail, IMAP/SMTP for any mail app, and a send API. Setup is a few DNS records; changes usually take effect within minutes, occasionally up to 48 hours. Start at oqumail.com.
4. Missed appointment
Subject: We missed you today
Hi [First name],
We had you booked for [service] at [time] today and did not see you. I hope everything is all right.
If you would like to rebook, reply with a day that suits you, or call [phone]. [One sentence on the missed-appointment policy only if you have one and it applies, e.g. "As this was the first time, there is no charge."]

[Company]5. Cancellation by you
Subject: Change to your appointment on [Day, date]
Hi [First name],
I am sorry: we have to move your [service] on [Day, date] at [time] because [brief, honest reason: the practitioner is unwell / an emergency job overran].
The nearest times I can offer are:
- [Day, date] at [time]
- [Day, date] at [time]
Reply with the one you prefer, or call [phone] and we will find another. [If you offer something for the inconvenience, one sentence here.]

[Company]6. Follow-up after the appointment
Subject: After your [service] - anything we should know?
Hi [First name],
Thank you for coming in [today / on date]. [One line specific to the service: how to care for the treatment / when to expect results / what we agreed next.]
If anything does not feel right, reply here or call [phone]; we would rather hear about it early.
[Your next appointment is due around [month]; we will send a reminder nearer the time.]

[Company]Sending them without a booking system
For a business with a few dozen appointments a week, these can be sent by hand from the role mailbox in a couple of minutes each: keep the six templates as drafts, fill in the brackets, send. The free plan allows 250 sends a day per mailbox, which covers reminders for even a busy clinic. When the volume passes what one person can type, the reminders are the first thing to automate, and the API reminder guide shows how to send exactly these from a script.
Common questions
Should the reminder ask for a confirmation reply?
Only if you will act on the absence of one. "Reply YES to confirm" with no follow-up when they do not is noise. Asking for a reply only if they need to change it is more honest and gets fewer replies to process.
Email or SMS?
Both, if you can. Email carries the details and lives in their inbox; a text the morning of the appointment is what stops no-shows. If you can only do one, the email the day before is the better single channel for anything that needs an address or instructions.
What subject line works best?
The service, the day and the time, nothing else. The subject line guide has the reasoning.
