Free business email in Spain: set up nombre@tuempresa.es today
How Spanish autónomos and small companies get free business email on a .es domain: registering with Red.es, adding DNS records, creating mailboxes, phone setup.
Spanish autónomos, gestorías, small hostales and online shops send presupuestos and facturas that clients act on, and a movistar.es or Gmail address on them looks improvised. This guide sets up nombre@tuempresa.es with free mailboxes, covering the .es registration, DNS and connecting Outlook and your phone.
Quick answer
Register tuempresa.es with any accredited registrar (no documents needed), create a free OquMail workspace, add the domain, paste four DNS records, create mailboxes. Up to 15 mailboxes are free with no card, so the domain is the only cost.
Domain choice: .es, .com.es or .com
The .es domain is administered by Red.es and is open to anyone worldwide with no document check. Registrars include Dinahosting, Arsys, Piensa Solutions, IONOS, Namecheap and many others. Spanish customers expect .es from a Spanish business; .com.es exists but is rarely used, and a .com is common among startups and tourism businesses with international clients.
- .es: the default for Spanish businesses; open to anyone; instant
- .com.es and .org.es: available but uncommon
- .com: sensible for tourism and export businesses; register the .es too
- Register in the business name so the domain stays with the company
Why Spanish clients trust a domain address
Companies paying invoices check that the sender domain matches the company on the factura with its NIF, gestorías correspond with the AEAT and Seguridad Social on behalf of clients, and hostales and tour businesses take bookings from abroad from people who screen out Gmail. A presupuesto from info@tuempresa.es is acted on; the same from a personal address prompts a call. A domain mailbox also stays with the business when an employee leaves.
Step by step
- Register tuempresa.es with an accredited registrar.
- Create a free OquMail workspace at oqumail.com. No card.
- Add the domain in the dashboard and copy the four DNS records.
- In the registrar’s DNS panel (Dinahosting: Dominios → DNS; Arsys: Panel → DNS; IONOS: Domains & SSL → DNS) add the MX, SPF, DKIM and DMARC records.
- Click Verify. The live check shows which record is still missing.
- Create mailboxes: info@, facturacion@, reservas@ and one per person, up to 15.
- Send a test from webmail, then add the account to Outlook, Apple Mail or the phone mail app with the settings below.
The four DNS records OquMail needs
Spanish hosts often pre-set MX records for their bundled webmail. Delete them before adding OquMail's, and keep only one TXT starting with v=spf1 on the root.
- MX — host @, value mail.oqumail.com, priority 10
- SPF (TXT at @) — v=spf1 MX (Mail Exchanger — where incoming email is delivered) a:mail.oqumail.com ~all
- DKIM (TXT at your selector ._domainkey) — v=DKIM1; k=rsa; p=… (the exact key is shown in your OquMail dashboard)
- DMARC (TXT at _dmarc) — v=DMARC1; p=none; rua=mailto:dmarc@yourdomain.com
OquMail connection settings
- Incoming (IMAP): mail.oqumail.com, port 993, SSL/TLS
- Outgoing (SMTP): mail.oqumail.com, port 587, STARTTLS
- Username: your full email address (you@yourdomain.com)
- Password: the same password you use for OquMail webmail
What it costs
A .es renewal is inexpensive at any Spanish registrar. The email is free: OquMail's free plan needs no card and includes 15 mailboxes, 3 domains, 5 GB per mailbox, webmail, IMAP/SMTP, delivery logs and a send API. Google Workspace and Microsoft 365 charge per user per month, which an autónomo or a three-person SL does not need to pay for basic mailboxes.
Pitfalls common in Spain
- Using movistar.es, telefonica.net or a Gmail for the business. It looks private and cannot be handed over when you hire.
- Bundled hosting mailboxes with no DKIM: facturas land in junk at corporate clients.
- Choosing SSL on port 587 in Outlook. It must be STARTTLS.
- Accented mailbox names and the letter ñ. Keep addresses plain ASCII (jose@, not an accented form) and put the correct name in the display name.
- Forgetting to update the aviso legal and your Google Business Profile with the new address.
Common questions
Can an autónomo register a .es without a company?
Yes. Red.es has no document requirement, so an individual can register a .es and use it for the business.
Does it work with Outlook and my phone?
Yes. Add an IMAP account with the settings above in Outlook, Apple Mail or the Gmail app.
What are the limits?
15 mailboxes, 3 domains, 5 GB per mailbox, no expiry.
