How to Set Up Freelancer Email on a Personal Brand Domain

How to set up freelancer email on a personal brand domain: pick the domain and address, publish the DNS records, connect your apps, and keep client mail apart.

A freelancer's name is the brand, and hello@yourname.com says so before the first sentence. Setting it up takes an afternoon and costs nothing beyond the domain. This guide covers choosing the domain and address, the DNS records that stop your proposals landing in spam, and a two-mailbox layout that keeps client mail and admin apart.

Quick summary

  • Domain: yourname.com if it is available, then a ccTLD for your market (.co.uk via Nominet, .ca via CIRA, .com.au via auDA, .de via DENIC, .co.za, .ng, .co.ke) or a descriptive form such as yournamedesign.com. Avoid hyphens and unusual endings that clients mistype.
  • Address: hello@ or your first name@ for client contact. Both are friendly and easy to say aloud on a call.
  • A second address for admin: accounts@ or admin@ for invoices, tool signups and receipts, so client threads are never buried under notifications.
  • Optional alias: studio@ or work@ if you want a slightly more formal front for corporate clients.
  • Register the domain at any registrar. You do not need hosting or a website to use it for email.

Set it up step by step

  1. Register the domain at any registrar. You do not need hosting or a website to use it for email.
  2. Create a free account at OquMail, add the domain, and complete verification. The free plan allows up to 15 mailboxes and 3 domains, more than a freelancer will use.
  3. Add the DNS records the dashboard shows at your registrar: MX mail.oqumail.com priority 10; SPF TXT v=spf1 mx a:mail.oqumail.com ~all; the DKIM TXT for your selector; DMARC TXT v=DMARC1; p=none; rua=mailto:dmarc@yourdomain.com with a rua address you read. The dashboard checks each record live and turns green when it sees it.
  4. Create hello@yourname.com and accounts@yourname.com.
  5. Add both to your phone and computer over IMAP (mail.oqumail.com, port 993, SSL/TLS) and SMTP (mail.oqumail.com, port 587, STARTTLS). On port 587 choose STARTTLS, not SSL/TLS. Picking SSL on 587 is the single most common setup mistake and it makes sending silently fail.
  6. Send a test to a Gmail address, open Show original, and confirm SPF, DKIM and DMARC all pass.

Signature and consistency

  • Name, what you do in five words, the address, a phone number if you take calls, and a link to your portfolio. Four lines, no images that break on phones.
  • Use the same display name everywhere: "Ana Okafor" in mail apps, on invoices and on your site.
  • Put hello@yourname.com on the portfolio site, proposals and invoices, and stop giving out the old free-mail address from today.

Keeping client and admin mail apart

Clients go to hello@; every tool, marketplace, bank and subscription goes to accounts@. When a client emails, it is the only thing in that inbox. When you do admin on Friday afternoon, it is all in one place. If you later hire an assistant, they get accounts@ without ever seeing client conversations. Two mailboxes cost nothing on OquMail's free plan, and both get 5 GB and webmail.

Mistakes freelancers make

  • Registering the domain and using registrar forwarding to Gmail. Forwarded mail fails SPF at Gmail, replies still come from the free address, and clients save that one.
  • Using a marketplace's masked address as your main contact. When you leave the platform, your clients lose you.
  • Skipping DMARC. Proposal emails from a new domain need every authentication signal they can get.
  • Letting the domain lapse. Set auto-renew; a lapsed domain means every client address stops working and someone else can register it.

Common questions

Should I use my full name or a business name for the domain?

Your name if you plan to remain independent; a studio name if you may take on partners or sell the business one day. You can own both and use the studio domain for email while keeping yourname.com pointing at the same site.

Do I need a website to have email on my domain?

No. Email needs only the DNS records above. Many freelancers set up email first and add a one-page site later.

What if my name domain is taken?

Try your name plus your craft (anaokaforphoto.com), a ccTLD for your country, or first initial plus surname. Avoid numbers and hyphens. Check the social handles at the same time so everything matches.
