How to Set Up Email Read Receipts and Whether to Use Them

A read receipt asks the recipient's mail app to send you a note when the message is opened. It sounds like proof; in practice most people decline it, many apps never show the prompt, and asking for one on routine mail comes across as distrust. Here is how to switch it on where it is worth it, and the alternatives that actually tell you an email landed.

Why they mostly do not come back

• Most apps default to "ask me" or "never send". Gmail, iOS Mail and Outlook.com ignore receipt requests entirely.
• Recipients who are asked usually decline, especially outside their own company.
• Corporate policies often block outgoing receipts.
• So a missing receipt tells you nothing: the message may have been read, deleted unread, or filed by a rule.

When a receipt is reasonable

• Formal notices where you need a record that a message reached a specific person: contract termination, a legal deadline, an HR matter.
• Internal mail inside a company where the policy is to send receipts.
• Time-critical instructions to a colleague who has agreed to acknowledge them.
• In every case, say why in the message: "I have requested a read receipt for our records."

Better ways to know it was seen

1. Ask for a reply: "Please confirm you received this by Friday." A one-word reply is proof a receipt can never be.
2. Check the delivery log. If your host records per-message delivery, you can see the receiving server's acceptance response. OquMail keeps a delivery log for each message sent through your mailboxes and the API, which answers "did it arrive" without asking the recipient anything.
3. Follow up by another channel for anything important: a call or text saying "I sent the contract, let me know if it did not arrive."
4. For formal notices, send by email and by a tracked postal service. Courts and regulators still expect this in many places.

Handling receipt requests you receive

Decide once. In Outlook: File, Options, Mail, Tracking, choose "Always send", "Never send" or "Ask each time". In Thunderbird: Account Settings, Return Receipts. Most businesses choose Ask, so a receipt goes back to a client who asked politely and not to a marketer. Sending a receipt reveals when you opened the message, so it is fair to decline one from a sender you do not know.

Common questions

Is a read receipt legally binding proof?

It is evidence that a mail app displayed the message, not that a person read or understood it. For anything where proof matters, use a reply or a channel designed for it.

Do read receipts work on phones?

Rarely. iOS Mail and the Gmail app do not send them at all. Outlook mobile connected to a Microsoft 365 account may. Assume a phone recipient will never send one.

Can I see if my email was opened without asking?

Only with a tracking pixel, which many recipients consider intrusive and which modern apps block or pre-load in a way that gives false positives. For business correspondence, ask for a reply instead.
