How to set an out of office auto reply for business email: what to write, when to switch it on, and what never to reveal to strangers or spammers.
An out-of-office reply keeps customers from feeling ignored while you are away, but a careless one tells every spammer that the mailbox is live and every stranger that your office is empty. Here is how to switch one on in the common mail apps, what to write, and the details to leave out.

What a good business auto-reply contains
- The date you are back, not the date you left. "I return on Monday 24 August" is more useful than "I am away from 17 August".
- Who to contact for urgent matters, with a role address like support@yourcompany.com rather than a colleague's personal mobile.
- Whether you will read mail while away. If not, say so; people then re-send on your return instead of waiting.
- Your normal signature, so the reply looks like it came from a business and not an abandoned account.
What to leave out
- Your travel destination or that the office is closed. It is a security detail nobody outside needs.
- Personal phone numbers of colleagues. Use role addresses or your main office line.
- Confidential client names or project details.
- Long apologies. Two or three sentences is plenty.

- Reply once per sender. Most responders remember who they already answered for a few days; make sure that option is on so a busy thread does not get twenty copies.
- Do not reply to mailing lists or bulk mail. Good responders skip messages with a List-Id or Precedence: bulk header; if yours does not, restrict replies to your contacts or to your own domain.
- Set an end date so it switches off by itself. A forgotten auto-reply in March that mentions the December holidays is a common embarrassment.
- Send the test from an outside account. Some responders never reply to your own domain, so testing from a colleague's address can give a false negative.
Role addresses make auto-replies simpler
If customers write to support@ or sales@ rather than to individuals, one person's holiday does not need an auto-reply at all; a teammate simply keeps answering. That is one reason to give your business its own role mailboxes early. Common questions
Should I set an auto-reply for a weekend or one day off?
Usually not. Customers expect a business-day reply anyway. Reserve auto-replies for absences of two working days or more, or for situations where a customer would otherwise expect a same-day answer.
Do auto-replies cause spam problems?
They can if they go to forged senders; spammers spoof addresses, and your responder then sends unsolicited mail to an innocent third party. Limiting replies to one per sender and skipping bulk mail keeps this negligible. Your own SPF, DKIM and DMARC records still apply to auto-replies, so keep them correct.
Can I set a different message for customers and colleagues?
Outlook and some webmail systems allow separate internal and external messages. If yours does not, write the external version and share your real whereabouts with colleagues by chat or calendar instead.
