How to Manage Two Business Email Accounts on One Phone

Two businesses, or a personal and a company address, or your own mailbox plus the shared support@ one: most owners carry at least two accounts on one phone. Done carelessly, replies go out from the wrong address and one account's noise buries the other. Here is how to add both cleanly, pick the right inbox view, and stop sending from the wrong identity.

Stop replying from the wrong address

• Replies use the account that received the message, in every major app. The risk is new messages, which use the default account.
• iOS: Settings, Mail, Default Account. Set it to the address you send new mail from most.
• Gmail app: Settings, choose the account, and set "Default From" or simply check the From line, which the app shows at the top of every compose.
• Outlook mobile: Settings, Default Mail Account (Primary). The From line appears in compose; tap it to switch.
• Give the two accounts clearly different display names (e.g. "Ana - Yourcompany" and "Ana - Studio") so the From line is unmistakable at a glance.

Signatures and notifications per account

• iOS: Settings, Mail, Signature, Per Account. Set each to that business's signature.
• Gmail and Outlook mobile: signature settings are per account as well.
• Notifications: keep alerts on for the account customers use and set the other to badge only, or to VIP or focused-inbox alerts. Two accounts with full alerts is how phones become unbearable.

Common questions

Why does my second account keep asking for the password?

Usually the outgoing server was left on "use incoming settings" or set to SSL on port 587. Open the account, edit the SMTP server, and confirm mail.oqumail.com, port 587, STARTTLS, username as the full address, with the password entered separately for SMTP.

Can two people share the second account on their own phones?

Yes. A shared mailbox added by IMAP on two phones shows the same messages and the same read state for both. Agree who answers what, and file claimed messages into a folder so the other person sees it is handled.

Should I use two mail apps instead?
