Free business email in India: set up name@yourbusiness.in with no card

How Indian businesses get free email on a .in or .co.in domain: NIXI registrars that take UPI, the four DNS records, team mailboxes, and phone setup.

Indian businesses run on GST invoices, UPI and WhatsApp, and the email address on all three is still usually a Gmail. A domain address fixes that for the price of a .in registration, which costs a few hundred rupees a year, and the mailboxes themselves can be free, with no international card and no recurring payment that fails. This guide covers the domain, the DNS and connecting Outlook and your phone.

Quick answer

Register yourbusiness.in or yourbusiness.co.in at a NIXI-accredited registrar that takes UPI or a RuPay card. Create a free OquMail workspace with no card, add the domain, paste four DNS records at the registrar, click Verify, and create your mailboxes. Add the mailbox to Outlook or the Gmail app on your phone with the settings below.

Choosing your domain: .in, .co.in or .com

India's country domains are run by NIXI (the National Internet Exchange of India). Both .in and .co.in are open to anyone, with no residency or company documents required. Registrars include GoDaddy India, BigRock, Hostinger and HostGator India, and all of them bill in rupees and accept UPI, net banking and Indian cards.

  • .in: short, widely recognised, the usual pick for startups and D2C brands
  • .co.in: the older business convention; common among manufacturers, traders and professional firms
  • .org.in, .net.in, .firm.in: for organisations, networks and firms; rarely worth choosing over .in
  • .com: fine if you export or sell software abroad; Indian customers trust it, though .in signals a local registered business

Why Indian buyers trust a domain address

Corporate procurement, government e-tenders and marketplace seller programmes all check the vendor before they pay. An Amazon.in or Flipkart seller account, a Razorpay or PayU merchant application and most vendor registration forms ask for a business email, and a Gmail entry invites extra verification. For MSMEs invoicing larger companies, a tax invoice from accounts@yourbusiness.in that matches the GSTIN and the Udyam registration is paid faster than one from a personal address, because the accounts team has nothing to query. Export-focused firms feel this most: foreign buyers routinely ignore quotes from free webmail addresses.

Step by step: from domain to working inbox

  1. Register yourbusiness.in at a NIXI-accredited registrar. Pay by UPI, net banking or card; the domain is live within minutes.
  2. Go to oqumail.com and create a free workspace with your name and a password. No card, no trial, no auto-debit mandate.
  3. In the dashboard choose Add domain and type yourbusiness.in. OquMail shows the four DNS records to add.
  4. At the registrar open DNS Management for the domain and add the MX, SPF, DKIM and DMARC records exactly as shown. BigRock and GoDaddy pre-fill a parking MX; delete it.
  5. Return to OquMail and click Verify. The live DNS check tells you which record is still missing.
  6. Create mailboxes: info@, sales@, accounts@ and one per person. The free plan allows up to 15 mailboxes with 5 GB each.
  7. Send a test from webmail, then add the account to Outlook or the Gmail app on your phone with the settings below.

The four DNS records OquMail needs

On GoDaddy India and BigRock the editor is under DNS Management; on Hostinger it is the DNS / Nameservers tab. If the domain is on Cloudflare, keep the MX and TXT records unproxied. Only one TXT record on the root may start with v=spf1.

  • MX — host @, value mail.oqumail.com, priority 10
  • SPF (TXT at @) — v=spf1 MX (Mail Exchanger — where incoming email is delivered) a:mail.oqumail.com ~all
  • DKIM (TXT at your selector ._domainkey) — v=DKIM1; k=rsa; p=… (the exact key is shown in your OquMail dashboard)
  • DMARC (TXT at _dmarc) — v=DMARC1; p=none; rua=mailto:dmarc@yourdomain.com

OquMail connection settings

  • Incoming (IMAP): mail.oqumail.com, port 993, SSL/TLS
  • Outgoing (SMTP): mail.oqumail.com, port 587, STARTTLS
  • Username: your full email address (you@yourdomain.com)
  • Password: the same password you use for OquMail webmail

What it costs, and the payment problem it avoids

The domain is a yearly fee in rupees at the registrar. The email is free: OquMail's free plan has no card step and includes 15 mailboxes, 3 domains, 5 GB per mailbox, webmail, IMAP and SMTP for any mail app, delivery logs and a send API. Google Workspace and Microsoft 365 bill per user per month, and many Indian founders have had those renewals fail since the RBI's rules on recurring card payments took effect, locking the team out of mail until someone re-approved the mandate. A plan that never charges a card cannot fail that way. Zoho Mail, the usual Indian alternative, is a solid product, but its free tier is webmail only, so Outlook and the phone mail app need a paid plan.

Pitfalls common in India

  • registrar (the company where you bought your domain, e.g. Namecheap or GoDaddy)-bundled mailboxes with no DKIM. Invoices from the domain land in junk at corporate clients running Microsoft 365.
  • Choosing SSL on port 587 in Outlook. It must be STARTTLS.
  • Jio, Airtel and BSNL consumer connections often block outbound port 25. Port 587 works on all of them; never configure a mail app on 25.
  • Keeping the Gmail address on the GST invoice template, IndiaMART listing and Google Business Profile after the domain is live.
  • Hindi or regional-language characters in mailbox names. Keep addresses plain ASCII and put the correct name in the display name.
  • Skipping DMARC. Spoofed invoice emails impersonating Indian suppliers are a common fraud; publish at least p=none and read the reports.

Common questions

Do I need a GST or Udyam registration to get a .in domain?

No. NIXI registrars sell .in and .co.in to anyone. Register the domain in the exact trade name on your GST certificate so the email, the invoices and the bank account all match when a client checks.

Does it work with Outlook and my phone?

Yes. Add an IMAP account with the settings above in Outlook, Apple Mail or the Gmail app. Use your full address as the username and your webmail password; the same mailbox then stays in sync across the office desktop and your phone.

What are the limits?

15 mailboxes, 3 domains, 5 GB per mailbox, no expiry. Growing past 15 adds mailboxes on request without touching DNS or existing accounts, so there is no migration later.
